Sharing dashboards
Share a dashboard with teammates, and understand why sharing never gives anyone data they can't already see.
A new dashboard is private to the person who created it. The Dashboard Owner decides who else can open it, either by adding people by name or by opening it to a wider audience in the workspace.
Sharing controls who can find and open the dashboard. It doesn't control what data they see. Each person still sees only the data their own access covers.
Owner and Viewer
| Role | What you can do |
|---|---|
| Dashboard Owner | Add and remove members, change visibility, share the link, and everything a Viewer can do |
| Viewer | Open the dashboard, change the period for your own view, and ask private questions in Cowork |
Viewers can't save changes, refresh the data, set alerts, or change who has access. Owner and Viewer are relationships to one dashboard. They don't change anyone's workspace role or Agent access.
Share a dashboard
Open the sharing options
On the dashboard, or from the card's menu in the library, select Share.
Add members
Search for teammates and add them. Access starts as soon as you add someone; they don't need to accept anything.
Choose the visibility
Visibility sets who else, beyond the members you added, can find the dashboard:
- Private: only you and the members you added.
- Your department: people in the department who also have access to the dashboard's data.
- Your whole organization: people in the workspace who also have access to the dashboard's data.
Department visibility can't be used to expose data from another department.
Copy the link
Copy the dashboard's link to send it. The link only works for signed-in members of your workspace who are allowed to open the dashboard. It doesn't work for anyone outside your organization.
What a Viewer sees
A Viewer sees the dashboard through their own access. If a Viewer can't access some of the dashboard's data, those values are hidden for them. Sharing never fills that gap.
The member count on a dashboard card counts the people you added. It doesn't mean every one of them can see every value.
Being shared on a dashboard doesn't subscribe anyone to its alerts. An alert is delivered only to the person who created it.
When access changes
Nalar checks access again every time someone opens, refreshes, asks about, or changes a dashboard, so an old link or open browser tab can't show data someone has lost access to.
| What changes | What happens |
|---|---|
| You remove a member | The dashboard disappears from their library and their link stops working. |
| A Viewer loses access to an Agent or source the dashboard needs | Protected values are hidden for that Viewer, including earlier values and their Cowork conversation. Everyone else is unaffected. |
| The Owner loses access, or access to a source the dashboard depends on is removed | The dashboard becomes Frozen. Protected values are hidden for everyone, and refresh and alerts pause. |
A Frozen dashboard comes back only after access is restored and the dashboard is refreshed successfully. Its alerts stay paused until the Owner resumes them.
