Documents for Agents
Give an Agent documents to read, choose which Sub-agents can use them, and replace or delete your uploads.
You can give an Agent documents to read, such as a price list, a policy, or a product catalog. Once a document is ready, the Agent can use it in answers. Anyone who has access to an Agent can upload to it, whatever their role.
Documents are managed from the Documents tab in an Agent's details. Open the Agent from the Agents page; see Agent details.
Who can do what
| Role | Upload | Choose which Sub-agents can use a document | Replace or delete |
|---|---|---|---|
| Workspace Owner, Workspace Admin | Any Agent | Anywhere in the workspace | Your own uploads, anywhere in the workspace |
| Department Head | The departments you lead | In the departments you lead | Your own uploads, in the departments you lead |
| Staff | Sub-agents granted to you | No | Your own uploads, while you still have that Sub-agent |
No one in your workspace can replace or delete a document someone else uploaded. If one needs to go, ask the person who uploaded it, or ask your workspace admin to contact the Nalar team.
Upload a document
Open the Agent's Documents tab
On the Agents page, select the Agent, then open Documents.
Select up to three files
Select Upload document and choose your files. Supported formats are PDF, DOCX, PPTX, XLSX, CSV, TXT, and MD, up to 20 MB each. You can add a short description to each file.
Files in other formats or over 20 MB are flagged before upload, and the rest of your selection stays ready to send. Remove any file you don't want before you continue.
Choose who can use it (Department Agents only)
When you upload to a Department Agent as a Workspace Owner, Admin, or Department Head, choose which of its Sub-agents can read the document:
| Option | Who can read it |
|---|---|
| All Sub-agents | The Department Agent and all of its Sub-agents. This is the default. |
| Choose Sub-agents | The Department Agent and the Sub-agents you pick. |
| Department Agent only | The Department Agent alone. |
A document uploaded to a Sub-agent stays with that Sub-agent. It isn't shared up to the Department Agent or across to other Sub-agents.
Upload and wait for Ready
Each file moves through Uploading, Processing, and Ready. The Agent can read a document only once it's Ready.
You can close the details while files process. Closing doesn't cancel the upload, and an upload can't be cancelled once it starts. To add more files, start another upload; three is the limit per upload, not per Agent.
If a file fails, the others are unaffected. Upload the failed file again as a new upload. If Nalar can't confirm whether processing finished, the file shows Processing status unavailable; check again later.
Preview and download
Select a document to preview it or download the original. Preview works for common text, CSV, Office, PDF, and image files. Office files preview as readable content, not their original page or slide layout. Files too large to preview can still be downloaded.
Change who can use a document
Workspace Owners and Admins, and Department Heads within the departments they lead, can change which Sub-agents can read a Ready Department Agent document. Before the change is applied, Nalar shows the document's Agent and the Sub-agents affected.
Changing this setting only decides which Agents read the document. It never gives a person access to an Agent they don't already have.
When a file name already exists
If you upload a file with the same name as a document already on that Agent, Nalar doesn't overwrite it or add a duplicate. It shows the existing document, who uploaded it, and when it was last updated, and offers:
- Replace document, if the existing document is your own upload;
- Upload as new document, under a different name;
- Cancel, which leaves the existing document as it is.
Replace a document
Use Replace document on one of your own uploads to swap in a newer version. The new file can have a different name.
- The current version stays in use while the replacement uploads and processes. Its row shows Replacement in progress.
- When the replacement is Ready, Agents use it for new answers. Earlier answers and copies already downloaded aren't changed.
- The document keeps its Agent, its uploader, and its Sub-agent setting.
- If the replacement fails, the current version stays in use and you can retry.
There is no version history, and you can't switch back to the previous version.
Delete a document
Use Delete on one of your own uploads. The confirmation names the file and explains that deleting it is permanent: Agents can no longer read or quote it. You can delete a document at any stage, including while it is still processing.
Deletion can't be undone. If Nalar can't confirm the deletion finished, the document stays listed until its state is confirmed.
Documents from a Department Agent
A Sub-agent's Documents tab also lists documents shared down from its Department Agent. These rows show where the document comes from. To replace or delete one, go to the Department Agent that owns it.
Workspace Owners and Admins can also manage the same documents from Settings. Changes in either place show up in both.
